Terms and Conditions for Participating Artists
By submitting your work and accepting participation, you agree to the following terms and conditions for the exhibition BODIES WE BORROW:
1. Loan of Copyrighted Material
The artist lends the digital image file to REFRACT for the production of exhibition materials (aluminum prints). The artist retains all rights to the artwork itself. REFRACT agrees to delete the high-resolution image file after production is completed, unless the artist chooses to donate the work (see section 6).
2. Production
REFRACT covers the production costs for aluminum prints in the formats 100x100 cm, 50x50 cm, or 25x25 cm, based on the curator’s decision. All works will be produced in square format (1:1).
The artist is responsible for submitting image files adapted to this format. If submitted material is not square, the curator reserves the right to crop the work at their discretion in order to adapt it for production.
3. Collection and Responsibility
After the exhibition period ends, the physical aluminum print belongs to the artist. The artist is responsible for collecting their work from the exhibition venue at the announced dismantling date and time.
REFRACT is unable to store artworks after the exhibition has ended and does not ship works by mail.
REFRACT will handle artworks with care but is not financially liable for wear, damage, or incidents occurring during the exhibition or during collection by the artist.
If a work is not collected within the stated dismantling deadline, it will be considered abandoned. Due to limited storage capacity, REFRACT reserves the right to destroy or dispose of uncollected works immediately unless otherwise agreed upon in writing beforehand.
4. Promotional Use
REFRACT reserves the right to use images of the artworks for marketing and promotional purposes related to the exhibition, including social media, websites, and press coverage.
5. Insurance
The venue’s standard insurance policies apply to the artworks while they are exhibited on-site, within the framework of the venue’s existing insurance agreements.
REFRACT does not provide separate insurance for exhibited works and accepts no financial responsibility for damage, theft, or loss not covered by the venue’s insurance. Any additional insurance must be arranged by the artist.
6. Voluntary Donation of Artwork
Artists may choose to donate their work to REFRACT after the exhibition ends. By donating the work, ownership and rights of use are transferred to REFRACT.
Donated works may be used in future exhibitions, touring exhibitions, educational activities, archival work, or resale in support of REFRACT’s art and cultural initiatives.
7. Jurying and Curating
All submitted works are initially reviewed by an independent jury. Selections are based on artistic relevance to the exhibition theme, not on the artist’s education or CV.
The final selection is determined by the curatorial team based on venue capacity and technical limitations. Curators retain full authority regarding placement, installation, and the overall visual presentation of works within the exhibition space.
8. Withdrawal of Participation
Artists may withdraw their work from the exhibition at any time before production begins by contacting REFRACT in writing at styret@refract.no.
Submitted digital material will then be deleted, and personal information removed from the project as far as practically possible.
Once production of exhibition materials, printed matter, or promotional content has begun, REFRACT cannot guarantee the withdrawal of already produced or published materials.
Any production costs already incurred by REFRACT will in such cases be considered lost, and the physical artwork will remain the property of REFRACT if the artist withdraws after the printing process has started.
